EVMAN For music schools · since 2012

From the concert idea to the program booklet.

EVMAN follows every recital and every concert all the way: teachers enter their own pieces, the running order is set by drag and drop, and at the end the program booklet is there as a PDF.

EUR 170 per school year for the whole music school. Runs in the browser, installable as an app.

EVMAN in the browser: the running order of a recital evening as a table, with duration, composer, piece, student, instrument, level and teacher for each item, above it the event type, the entry deadline and the duration bar reading 27 min / 1:30 h, and the school year's events on the left. The application is in German.
The same running order on an iPhone: title and date of the recital evening, event type and entry deadline, the duration bar reading 27 min / 1:30 h, and below that the pieces one under the other with title, composer, student, instrument and duration. The application is in German.

EVMAN currently speaks German, and so do the recordings in this tour. An English version is available on request. Mention it in your inquiry.

Origin

Two people, since 2012.

Markus Fritz ran the Westliches Mittelgebirge music school and is still part of every new feature; Florian Fritz built EVMAN and has run it since, as flof.codes. What EVMAN can do comes out of the daily work of a music school, not out of a requirements list.

  1. 2012

A diploma thesis by flof.codes, written for Markus Fritz and the lists he had kept by hand until then.

  2. 2014

A hosted service: no school runs a server of its own any more.

  3. 2018

Mobile, because teachers do not enter their pieces at a desk.

  4. 2026

Third generation with Markus Fritz: rebuilt from scratch, more features, for the phone first.

For its first fourteen years EVMAN grew without a single word of advertising. Nobody demonstrated it to a music school or sold it to one. That more than ten schools in Tyrol work with it has one reason: each told the next.

Behind flof.codes stands Flof Codes e.U. in Tyrol, Austria. The same company develops EVMAN, runs the servers and does support. An inquiry reaches the developer directly.

Features

Everything that happens between the concert idea and the program booklet

Teachers sign up themselves

Piece, composer, student, duration. Entered by the teacher, on her own, up to the entry deadline.

Watch it in the tour

Nobody has to chase people by phone

You create the event and every teacher knows about it, at once, without a round-robin mail. The same for changes, cancellations and shortly before the entry deadline. Anyone who wants can also set a reminder for a single date, or subscribe to the dates in their own calendar, in Apple, Google or Outlook.

Running order by drag and drop

Drag the order instead of retyping it. The total duration adds up live, so you see at once whether the evening is getting too long.

A waiting list instead of rejections

Above the capacity you set, pieces move onto a waiting list by themselves, visible and reorderable at any time.

The program booklet at the press of a button

Three PDF layouts, one of them a print-ready folded booklet, plus Word and Excel, in your color and on your letterhead.

The finished program booklet as a PDF: a header with the music school, the title Abschlusskonzert des Schuljahres, date, start time and venue, and below that the numbered items with work, composer, student, instrument and class. The document is in German.

Every date of the school year

Studio recital, recital evening, annual concert. Which types exist is up to you, each with its own color. The year view shows filtered what happens when, and that an event is happening at all is visible to everyone at the music school.

Rights that fit the school

Teacher, office, leadership, or roles of your own, including ones limited to a single recital. A teacher runs her own studio recital herself, with no entry deadline and without the office, and if you want, only after the leadership has approved it.

Fully usable on a phone

No stripped-down mobile mode: everything that works on a computer works on the phone, saved as an app, with a push message when something is new.

How it works

One event, four steps

  1. Create the event

Type, date, venue, entry deadline. Every teacher is informed automatically.

  2. The pieces come in

You see where things stand at any time, without having to ask.

  3. Set the running order

Drag the order, place the intervals, clear the waiting list.

  4. Export and print

Pick a layout, download the file. It is typeset already.

Hosting and data protection

Student data does not belong in an Excel file in a mail attachment

  • Servers in Austria, run by us, with no cloud provider in between, not even for mail. The only things that leave are notifications: mails from the application and push messages, which each person switches on themselves.
  • Encrypted connection, passwords never in clear text.
  • Each school sees its own data and nothing else.
  • With a retention period if you want it. Past events are then deleted automatically.

This is set out bindingly in the data processing agreement under Art. 28 GDPR, readable in full before you order. For the data of the website itself the privacy policy applies. Both documents are in German.

Price

EUR 170 per school year

One price for the whole music school, however many teachers, pieces and events come along. Hosting, updates and every export layout are included.

Try it free for 30 days

One invoice per school year, currently with no VAT.

Optional: one hour of onboarding online with the developer, EUR 100 once, bookable with the order or later by e-mail.

Frequent questions

What school directors usually want to know

Is EVMAN available in English?

The application itself speaks German today, and so do the recordings in the tour above. An English version is available on request. Write it in your inquiry and we will tell you what it would take for your school.

Do our teachers have to install anything?

No. Nothing from an app store, no account with a third party. Two taps put EVMAN on a phone as an app, and it behaves like one from then on: its own icon, its own window, no browser around it.

Will our teachers get mail all the time?

Only if they want it. By default notifications show up under the bell in the app; push to the phone and e-mail are switched on by each teacher individually. Which occasions notify at all, whether that is a new event, a change, the waiting list or the entry deadline, is set by each person in their own profile.

Can every teacher see and change everything?

No. By default a teacher edits only their own pieces, and only until the entry deadline. What the office and the leadership may do is up to you.

Can teachers create their own events?

Yes, if you want that. A studio recital belongs to the teacher who holds it: she creates it herself, enters her students' pieces and sets the running order, with no entry deadline, because there is none anyone could miss. What is allowed there sits in its own rights, next to the ones for the school's concerts. If the leadership wants a say, switch approval on: the event then only appears in the calendar once it is confirmed.

Do the dates land in our calendar?

Yes, as a subscription, not as a file that goes stale. Each person sets up one or more calendars in their own profile and picks what goes in: their own dates, certain event types, or everything. The calendar is subscribed once in Apple, Google or Outlook, and changes arrive by themselves after that. Such a link is the key to that calendar and should not be passed on. You can block or delete it at any time.

We already run school administration software. Does this get along with it?

Yes, EVMAN runs alongside it, with no syncing. It looks after events only and needs no access to your student records: the teacher enters piece, student and duration when signing up, and what has been typed once, EVMAN suggests the next time. So the only people to create are the ones who work with it, the teachers, once, by invitation.

What does EVMAN cost?

EUR 170 per school year for the whole music school, whatever the number of teachers, events and pieces. No setup fee, no tiers. Optionally an onboarding hour: one hour online with the developer, EUR 100 once. Currently neither carries VAT; should VAT apply in the future, it is added.

Are we tied in for the long run?

No. Full access runs for one school year, 1 September to 31 August, and renews for another one if nobody cancels. Either side can cancel informally by e-mail with effect from 31 August, without giving a reason. The price is index-linked; any increase beyond that we propose by 1 July, and it only takes effect if the school agrees by 31 August — otherwise the contract ends with the school year. The terms have the details, in German.

What happens to our data if we stop?

There are two answers, and the second one matters more. Contractually: until the contract ends we provide your data in a common format on request; when it ends, the data is deleted. That is what the terms say. In practice: you do not have to ask us at all. Programs and piece lists are yours to download as Excel or CSV at any time, mid school year as much as at the end. What is in EVMAN is therefore always with you as well.

Do we get help setting up?

Yes. The trial account comes with sample data to try out, and support means talking to the developer directly. If you would like to go through it together, book an onboarding session: one hour by video call, EUR 100 once (currently no VAT), usually one to one with the leadership, in which we set your school up, from the roles to the first event. You can book it with the order or later by e-mail; we arrange the slot by mail afterwards.

How long has EVMAN been around?

The first version was written in 2012 for one music school in Tyrol; today more than ten schools organize their recitals and concerts with it. What you see here is the third generation: rebuilt from scratch in 2026, this time for the phone first, because teachers rarely enter their pieces at a desk. Every existing school has moved to this version.

Who is behind it?

Flof Codes e.U. in Tyrol, Austria. Support means talking to the developer directly.

How do we start?

You ask for a trial account and we open it. You get a music school of your own with sample data, for 30 days, and you can invite up to five teachers into it. If you want to stay, you order full access inside the application itself; we clear the trial events away as part of that, so you start the school year clean. Settings, roles, your logo and everyone you invited stay. The invoice comes once a year by e-mail and is paid by bank transfer; you never store payment details in EVMAN.

Request a trial account

Three details are enough. You get an account of your own with sample data, for 30 days, with no obligation.
